Information on the Department
The Office of Institutional Advancement is dedicated to securing the resources necessary for the support and continuing growth of Lesley University. The Office is responsible for University-wide fundraising and alumni relations programming and for building and sustaining long-term, mutually beneficial relationships with Lesley's many constituencies, including alumni, donors, parents, and friends of the University.
Serves as office manager; plays a central role in maintaining calendars and shared documents, coordinating and support software and other training, ensuring that basic equipment, supply, purchasing, and logistical needs are met, arranging for and recording meetings, time tracking, and other duties as assigned.
Manages the day-to-day flow of office services, including requisitions, check requests, purchase orders, expense reports, and purchasing card reconciliations.
Manages cross-functional projects within Advancement, such as mailings and large data entry projects.
Recruits, hires, trains, schedules, and supervises work study students and other student workers.
Provides high level administrative support to the Vice President, manages the Vice President's calendar, and helps ensure the smooth running of all meetings and appointments.
Communicates with senior administrators, trustees, donors, alumni, and friends of Lesley on behalf of the Vice President on a variety of matters.
On behalf of the Vice President, drafts memos and letters, formats correspondence and reports, maintains records and files, answers/screens calls, and responds to inquiries using personal initiative and employing high regard for confidentiality and discretion.
Coordinates and organizes materials for Vice President's and President's meetings with alumni and donors.
Tracks the Vice President's and President's fundraising activity in database, and prepares reports for strategy sessions.
Manages travel arrangements for Vice President and other department staff.
Coordinates and supports special events, projects, and initiatives, often working with appropriate department directors, the President's office, and other senior administrators on campus.
Prepares and tracks gift acknowledgments from Vice President to all donors, as well as from the University President to high level donors.
Provides database assistance in recording donor and alumni communications, updating information, generating reports, and developing lists for fundraising initiatives, events and mailings.
3+ years in a professional office setting, preferably in higher education.
Proven organizational, editorial, interpersonal, and time management skills.
Must be an effective writer and verbal communicator.
Ability to work independently and as part of a team.
Ability to handle changing priorities and to respond to last-minute changes in calendar/schedule and make appropriate adjustments to work flow.
Ability to take initiative and creatively solve problems.
Excellent organizational skills and a high degree of accuracy of work, with excellent attention to detail and the ability to multi-task and set priorities.
Ability to work in a fast-paced environment with a high level of discretion required as position involves confidential data.
Knowledge of and proficiency with PC (including Outlook, Excel and PowerPoint), and Raiser's Edge or other relational database.
Must be authorized to work in the United States; if you hold a visa, your visa status must allow you to work at Lesley University.
Salary Grade 24.
